Welcome to Easy Admin ("Service", "Platform", "we", "us", or "our"). These Terms of Use ("Terms") govern your access to and use of our platform, including any content, functionality, and services offered. By registering for an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. Account Registration & Eligibility

You must be at least 18 years of age or the legal age of majority in your jurisdiction to use this Service. By creating an account, you represent that the information you provide is accurate, complete, and current. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

We reserve the right to suspend or terminate accounts that violate these Terms, contain fraudulent information, or are used for unauthorized purposes.

2. Service Description

Easy Admin is a software-as-a-service (SaaS) platform that provides business management tools including, but not limited to, workspace management, billing processing, credit-based usage, and related features. The Service operates on a credit-based billing system where credits are purchased in advance and consumed as you use the platform's features.

3. Payment Terms

3.1 Payment Methods & Card Storage

To use paid features of the Service, you must provide a valid payment method. We use Stripe as our third-party payment processor. When you save a payment method, your card details are tokenized and stored securely by Stripe — we never store your full card number, CVV, or other sensitive card data on our servers. We store only a reference token, your card's brand, last four digits, and expiration date for display purposes.

3.2 Authorization for Recurring & Off-Session Charges

By saving a payment method to your account, you expressly authorize Easy Admin to initiate charges to your saved payment method for the following purposes:

  • Credit top-ups: When you purchase credits manually or through automated top-up.
  • Subscription payments: Recurring charges for subscription plans you have opted into.
  • Auto top-up (when enabled): If you enable the automatic top-up feature, we will automatically charge your default payment method when your credit balance falls below your configured threshold. You may disable auto top-up at any time from your billing settings.

These charges may be initiated without requiring you to be actively logged in to the platform ("off-session" charges). Your bank may require additional verification (such as 3D Secure authentication) for certain transactions. In such cases, we will notify you via email with a secure link to complete the verification.

3.3 Pricing & Credits

Credit pricing is displayed on the platform at the time of purchase. We reserve the right to modify pricing with reasonable notice. Credits purchased are non-transferable between accounts unless otherwise specified. Unused credits remain available in your account until they are consumed or your account is terminated.

3.4 Daily Charge Limits

To protect against fraud and unintended charges, we enforce daily charge limits per payment method. If a limit is reached, you will be notified and may add an alternative payment method to continue.

3.5 Failed Payments

If a payment fails (due to insufficient funds, card expiry, bank decline, or other reasons), we may retry the payment or notify you to update your payment method. Continued failure to maintain a valid payment method may result in service interruption.

4. Refund Policy

Refund requests are handled on a case-by-case basis. If you believe you have been charged in error or wish to request a refund, please contact our support team within 14 days of the charge. We reserve the right to approve or deny refund requests at our discretion based on the circumstances. Refunds, when approved, will be issued to the original payment method.

Credits that have already been consumed are generally not eligible for refund.

5. Acceptable Use

You agree to use the Service only for lawful purposes and in compliance with all applicable laws and regulations. You shall not:

  • Use the Service for any fraudulent, deceptive, or illegal activity.
  • Attempt to gain unauthorized access to other users' accounts or our systems.
  • Interfere with or disrupt the integrity or performance of the Service.
  • Reverse engineer, decompile, or disassemble any part of the Service.
  • Use automated scripts, bots, or other tools to access the Service in a manner that exceeds reasonable usage.

6. Intellectual Property

The Service, including its design, logos, text, graphics, software, and other content, is the property of Easy Admin or its licensors and is protected by intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to use the Service for its intended purpose. You may not copy, modify, distribute, sell, or lease any part of the Service without our prior written consent.

7. Data & Privacy

Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information. By using the Service, you consent to the practices described in the Privacy Policy.

8. Service Availability & Modifications

We strive to maintain high availability of the Service but do not guarantee uninterrupted access. We may modify, suspend, or discontinue any part of the Service at any time, with or without notice. We are not liable for any loss or inconvenience caused by such changes.

9. Limitation of Liability

To the maximum extent permitted by applicable law, Easy Admin and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, use, goodwill, or other intangible losses, resulting from:

  • Your access to or use of (or inability to access or use) the Service.
  • Any conduct or content of any third party on the Service.
  • Unauthorized access, use, or alteration of your data or transmissions.

Our total aggregate liability for all claims relating to the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

10. Indemnification

You agree to indemnify, defend, and hold harmless Easy Admin and its affiliates from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with your access to or use of the Service, your violation of these Terms, or your infringement of any third-party rights.

11. Termination

You may terminate your account at any time by contacting support or using the account settings (when available). We may suspend or terminate your access to the Service immediately, without prior notice, for conduct that we believe violates these Terms or is harmful to other users or us.

Upon termination, your right to use the Service ceases immediately. Any remaining credit balance may be forfeited unless otherwise required by applicable law.

12. Dispute Resolution

Any disputes arising out of or relating to these Terms or the Service shall be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to binding arbitration or the courts of competent jurisdiction in the jurisdiction where Easy Admin is incorporated.

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of Malaysia, without regard to its conflict of law provisions.

14. Changes to These Terms

We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by email or through the Service at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes your acceptance of the revised Terms.
